We value our front of house enormously at Rufus Leonard, and as the first point of contact for staff and visitors, we hope you too realise the significance and importance of the role. It’s important that all of the tasks below are maintained to ensure an efficiently run reception at all times.

General reception duties:

  • Answering and announcing all incoming calls
  • Sorting and distributing faxes/phone messages using Outlook
  • Sorting and distributing post
  • Ordering bikes and cabs and taking responsibility for safe and swift dispatch and delivery
  • Co-ordinating the booking of the meeting rooms using Outlook
  • Greeting visitors, taking coats, issuing badges, offering a drink (where necessary) and making them welcome
  • Co-ordinating the whereabouts of staff at all times using Daily Roll and sending out sickness forms as required
  • Maintaining a tidy, efficient and above all friendly reception area
  • Maintaining Reception Handbook including lists of staff job titles, project teams, mobile numbers etc
  • Where necessary liaising with caterers and preparing client lunches and refreshments for meetings
  • Ensuring the client areas including reception, meeting rooms, toilets and kitchen are at all times presentable
  • Maintaining security by following procedures, monitoring the log book and issuing visitor badges
  • Preparation of reception every morning to including; setting out newspapers, distributing night services messages, checking meeting rooms and confirming all meetings
  • Evening close up of reception at the end of the shift

 Additional tasks:

  • Booking travel (flights, trains and hotels) through our agents, creating travel itineraries and liaising between the agent and staff member
  • Managing the magazine subscriptions including labelling and logging magazines, their distribution, re-subscriptions and keeping up to date copies
  • Clearing out fridges in kitchen on weekly basis
  • Assisting social team with leaving drinks, parties and monthly drinks
  • Some diary management/PA assistance for the CEO

 Essential competencies:

  • The successful candidate will need to possess strong basic MS Word, Excel and Outlook skills, with strong typing skills
  • Capable of working under own initiative/ability to plan multiple tasks and meet requests/deadlines as necessary
  • Previous reception or customer service experience necessary
  • Professional attitude/dress
  • Strong organisational skills
  • Attention to detail, accuracy
  • Good spelling, grammar and numeracy
  • Excellent time keeping
  • Personable nature and good customer service and people skills
  • This role requires someone who is adept at juggling several tasks at once

Hours of work:    08:30 – 17:00 OR 09:30 – 18:00 Monday to Friday

Reporting line:   Facilities Manager
